Information collected and its purpose
Enquiry and appointment forms ask for your name, contact details and, where relevant, your preferred clinic, date, time and notes. Required fields are needed to respond to your request; optional notes can be left blank. Please avoid sharing identity documents, detailed medical histories or other unnecessary sensitive information.
The assistant processes your messages to provide general information and booking help. Conversations, booking details and technical information such as IP address and browser information may be recorded in the practice systems. Do not send information you do not want processed through the assistant.
Who may receive information
Information is used by the practice team and service providers supporting communication, appointment administration, website security and the AI assistant. Assistant messages may be processed by an AI service provider. Some services may process information outside South Africa. Use phone or email if you prefer to discuss your request directly with the practice.
Storage and retention
Website enquiries, correspondence and assistant records may be held in practice systems to handle your request and maintain relevant records. Retention depends on the purpose of the record and applicable record-keeping obligations. Contact the practice for information about a particular record or to request its deletion.
